1. Introduction

This page sets out what Clan Security (“Clan Security”, “we”, “us” or “our”) does with information about you: what we receive through our website or by email, why we need it, who else handles it, and what you can ask us to do with it. In this policy, “Personal Information” means any information that identifies you or could reasonably be linked to you. If anything here is unclear, email us at respond_in_24hr@clan.security.

2. Scope of this Privacy Policy

This policy applies to our website at clan.security (the “Website”) and to Personal Information you share with us when you email or otherwise contact us. It does not apply to other websites or services, including any that link to or from the Website.

3. Information We Collect

Information you give us. When you request a demo, we ask for your full name, work email address and company, and you can add a message. We also keep a record that you ticked the box agreeing to our Terms & Conditions and to being contacted about your enquiry. Your name, work email and company, and that ticked box, are needed so that we can respond; without them, we cannot handle your request through the form. The message is optional. If you email us, we receive your email address and anything you choose to include.

Information collected automatically. When your browser loads the Website, it sends the technical information that accompanies every web request, such as your IP address, browser and device type, and the page requested. Our hosting provider receives this information and processes it to deliver the Website and keep it secure.

Cookies and tracking technologies. We do not use analytics, advertising or tracking cookies, web beacons or similar technologies on the Website. Our hosting provider may set a strictly necessary cookie to protect the Website from malicious traffic.

4. How We Use Your Information

We use Personal Information to:

  • respond to your enquiry, arrange and deliver a demo, and follow up with you about it;
  • keep the Website available and secure, including filtering out spam and blocking abusive or fraudulent form submissions;
  • meet our legal obligations and establish, exercise or defend legal claims.

We do not add the details you send through the contact form to a marketing list. We do not sell Personal Information or share it for targeted advertising.

If you are in the European Economic Area or the United Kingdom, these are our legal bases:

  • Enquiries you send us, through the contact form or by email: our legitimate interest in responding to the business enquiries you ask us to answer, including arranging and giving the demos you request.
  • Running and securing the Website, and legal claims: our legitimate interests in keeping the Website safe and in establishing, exercising or defending legal claims.
  • Legal obligations: the need to comply with the law.

If you no longer want us to contact you about your enquiry, email us and we will stop. You can also object to any processing based on our legitimate interests, as described in section 8.

5. Information Sharing and Disclosure

We share Personal Information in the following circumstances:

  • Service providers. Companies that host the Website, send contact-form enquiries to our inbox, and provide the email, calendar and video-meeting tools we use to reply to you and to arrange and hold demos. They handle Personal Information on our behalf to provide their services to us. Some may also process limited technical or usage information under their own terms, for example to keep their networks secure.
  • Professional advisers. Our lawyers, accountants and similar advisers, where we need their advice. They are bound by duties of confidentiality.
  • Legal requirements. When the law requires it, when a public authority makes a valid request, or when disclosure is needed to protect the rights, property or safety of Clan Security or others.
  • Business transfers. If Clan Security, or part of it, is reorganised, merged with another company or sold, Personal Information may pass to the new owner as part of that transaction.

We and our service providers may process Personal Information in countries other than the one where you live, and those countries may have different data protection laws. You can ask us for more information about how your information is protected when it is transferred.

6. Data Retention

We keep Personal Information only for as long as we need it for the purposes described above: to handle your enquiry and any business relationship that follows, and to meet our legal obligations. After that, we delete it or remove anything that identifies you. Copies held by our service providers, such as email delivery records and server logs, are deleted on those providers’ own schedules. You can ask us to delete your information sooner at any time.

7. Security

We use reasonable administrative and technical measures to protect Personal Information. For example, the Website and the contact form are encrypted in transit, and we limit access to enquiries to the people who need it to respond. No method of sending information over the internet, and no method of storing it, is completely secure, so we cannot guarantee absolute security.

8. Your Rights

Depending on where you live, you may have the right to:

  • ask whether we hold Personal Information about you, and get a copy of it;
  • have inaccurate information corrected;
  • have your information deleted;
  • restrict how we use it;
  • receive your information in a portable format;
  • withdraw your consent at any time.

Right to object. Where we rely on our legitimate interests, you can object at any time on grounds relating to your particular situation. We will then stop, unless we have compelling legitimate grounds to continue or need the information to establish, exercise or defend legal claims.

To make a request, email respond_in_24hr@clan.security. We may need to confirm your identity before we act on it. We will not treat you differently for exercising your rights. You can also complain to the data protection authority where you live.

9. Children’s Privacy

The Website is intended for businesses and is not directed at children. We do not knowingly collect Personal Information from anyone under 16. If you believe a child has sent us Personal Information, contact us and we will delete it.

10. Changes to This Privacy Policy

We may update this policy from time to time. When we do, we will post the new version on this page and change the “Last updated” date at the top.
